FieldIntel Privacy Policy

This policy explains how InfraPro (SL) Limited (Company No. SL150526INFRA30204, 14 Cockerill South, Off Wilkinson Road, Freetown, Sierra Leone — "InfraPro", "we") handles personal data in connection with FieldIntel: this website, and the FieldIntel service itself.
We keep this simple and honest. FieldIntel exists to move field information to the people who need it — not to profile people, sell data, or advertise. We do not sell personal data, and we do not use it for advertising.
1. Two situations this policy covers
- The website (fieldintelsl.com). If you only browse this site, we collect very little (see §2).
- The FieldIntel service. If your organisation uses FieldIntel, we process the data your organisation and its field reporters submit, mostly on your organisation's behalf and instructions (see §3–§5).
2. Website visitors
The website sets no advertising or tracking cookies. We use Plausible, a privacy-focused analytics service that collects aggregate usage statistics (pages visited, referrer, country, device type) without building individual profiles. If you email us, we keep the correspondence for as long as needed to deal with it.
3. Data processed in the FieldIntel service
When an organisation uses FieldIntel, we process:
- Account data — names, work email addresses, roles and login credentials of the organisation's users.
- Reporter data — the WhatsApp phone numbers of field reporters, and the content they submit: messages, voice notes, photographs, videos and shared locations, together with timestamps.
- Report data — the structured reports, issues, summaries, briefs and other records generated from submissions.
- Configuration and billing context — sites, projects, templates, seat counts and subscription status. Payment card details are collected and processed by Paddle, our merchant of record — we never see or store card numbers.
- Service logs — technical records needed to run, secure and support the platform.
4. Why we process it
We process this data to provide, maintain, secure and support FieldIntel: delivering messages, structuring reports (including with AI systems), attaching evidence, generating dashboards, alerts, summaries and briefs, answering account and support questions, billing, and preventing misuse. We also use aggregate, de-identified information to understand and improve how the product performs.
Where FieldIntel processes reporter and report data, it does so on behalf of the customer organisation, which decides what is collected and who may see it. Field reporters with questions about a specific workspace's data should contact their organisation first; we will support any request that reaches us.
5. The organisation's responsibility to its reporters
Customer organisations must ensure their field reporters know their WhatsApp numbers and submissions are processed through FieldIntel, and have given any consent required by applicable law. FieldIntel is a workplace reporting tool; it must not be used to monitor people outside a legitimate work context.
6. Sub-processors — who touches the data
We use a small set of service providers to run FieldIntel. Each processes data only to provide its service to us:

Our AI providers process content to provide the service; under our agreements with them, API-submitted content is not used to train their general-purpose models.
7. Retention
We keep Customer Data for the life of the organisation's subscription and a reasonable period afterwards to allow export and reactivation, after which it is deleted in line with our retention practices and legal obligations. Trial workspaces that never subscribe may be deleted after long inactivity, with reasonable notice. Service logs are kept only as long as needed for security and operations.
8. Security
We maintain appropriate technical and organisational measures designed to protect data against unauthorised access, loss, alteration or disclosure — including access controls, encrypted transport, organisation-level data isolation, and restricted administrative access. No system is perfectly secure; we will notify affected customers of any breach as required by law.
9. Your rights
Subject to applicable law, individuals may request access to, correction of, or deletion of their personal data, or object to or ask us to restrict its processing. We extend these rights to users wherever they are located. Requests: contact@infraprosl.com. Where the data belongs to a customer organisation's workspace, we may route the request through that organisation.
10. International transfers
FieldIntel customers and reporters may be anywhere; the providers above process data in the locations listed. Where personal data crosses borders, we rely on our providers' safeguards and contractual commitments appropriate to those transfers.
11. Children
FieldIntel is a workplace tool and is not directed at children. We do not knowingly process children's data.
12. Changes
We will update this policy as the service evolves — for example, when a sub-processor is added — and will note the effective date above. Material changes will be notified to customers.
